Intro
When kicking off a project, one of the first tasks is to upload your employees into the compensation calculator. This allows me to achieve two key objectives:
- Provide data recommendations: If you haven't selected a data provider yet, this will help me recommend the most suitable provider(s) by giving me a clearer picture of:
- Your job families and where bespoke job families may be needed
- The locations where you employ staff
- Create strawman salary bands: I can set up initial salary bands, enabling you to start analysing pay equity for roles and employees who are already leveled.
Process

Employee Upload: I’ll share an Employee Upload sheet with you. Please populate this and let me know once it as been completed. If you have any questions then simply tag me in a comment.
- Employee names and unique identifiers for each employee
- Assigning levels
- Mapping job families
- Employment types

Compensation Calculator Setup: I’ll upload the employee information into a Compensation Calculator and set up the following straight away:
- Location factors: Based on your locations I’ll add in location factors from your chosen market data source. If you’ve not chosen one, then I’ll add in what I commonly see used.
- Job families: Double check the job families you’ve chosen and make comments on where you could make changes
- ‘Strawman’ salary bands for all your job families
- Targeting the 50th percentile i.e. ‘market rate’
- Industry standard pay range spreads i.e. defining the range from the min - max for each level
- Set the bands up with an initial stepped structure between adjacent levels
- Levels - the only thing I won’t do is assign levels to roles and employees. This will need to be carried out by you once we identify how you’d like to level the organisation

- Things to note about the spreadsheet:
- Blue cells - Edit the blue cells only. Other cells will typically contain formulas. You are welcome to modify these if you feel confident in making changes and back solving what they do.
- Adding columns - Feel free to add in additional columns to capture any additional data that makes sense for your organisation.
- Don’t insert rows - Only add employees to the last row available.
